The ED3C ensures that national rules, as well as the rules specific to each co-accredited universities, are applied as part of its defence authorisation process. The ED3C Defence Criteria are as follows

The thesis must contain original research by the doctoral student. The scientific prerequisite for the defence of the thesis is therefore the submission of a scientific article, signed as first or co-first author, to an international peer-reviewed journal. A registered patent is considered equivalent to a scientific article. If neither a scientific article nor a patent is submitted, the ED management will give its opinion based on the quantity and quality of the doctoral candidate's research and the prospect of publication.

These criteria apply to all ED3C doctoral students, regardless of their enrolment institution, discipline or category (full-time or part-time PhD student).

The doctoral student must consider a delay of approximately 3 months between the start of the process and the defence.

First, the doctoral student and his/her thesis director submit (by email to ed3c@sorbonne-universite.fr) a thesis jury proposal to the director of the doctoral school for validation. This proposal will be accompanied by a checklist to ensure that the essential legal points have been taken into account by the doctoral student. These documents will be supplemented by a list of publications and a copy of the employment contract or proof of funding up to the date of the defence.

Composition of the defence jury:

  • The jury consists of 4 to 8 members
  • At least half of its members are French or foreign personalities from organisations external to the doctoral school, the university of affiliation of the student's laboratory and the university of enrolment of the doctoral student, chosen for their scientific competence. All co-directors and co-supervisors are considered internal members, regardless of their university of affiliation and their doctoral school. Non-academic members (companies, foundations, etc.) cannot be considered as external members.
  •  It must necessarily include two rapporteurs i) who are not associated with the ED3C, with the university of affiliation of the student's laboratory and with the university of registration of the doctoral student, ii) who has not co-signed an articles with the doctoral student. French personalities must be authorised to direct research (PU, DR, CR-HDR, MCU-HDR, PH-HDR). For foreign personalities, a brief curriculum vitae (indicating in particular the doctoral thesis supervised) must be sent to the ED for validation.
  • One of the members of the individual thesis monitoring committee (CSI) can be a member of the jury as examiners but cannot be a rapporteur.
  • At least half of the jury must be made up of professors or equivalent (research directors). For foreign personalities whose position is not equivalent to that of a professor, a short curriculum vitae allowing an assessment of responsibilities must be sent to the ED for validation. Emeritus or retired professors are not included in the minimum 50% of professors or equivalent.
  • The composition of the jury must allow for a balanced representation of women and men  (difference of less than 2 members).
  • The thesis director (co-director) participates in the jury but does not take part in the final decision.
  • For PhD students registered at PSL or UPC, the jury must include a representative from the university holding the HDR and from outside the laboratory (not mandatory for PhD students registered at SU).

The members of the jury appoint a president from among themselves on the day of the defense. The president must be a professor or equivalent (the thesis director cannot be president). Emeritus or retired professors cannot be president.

If, and only if, the composition of the jury has been approved in the above preliminary stage, you will be able to follow the steps specific to each university in order to validate your thesis jury.

Once the proposal of the jury has been validated by the Director of the ED3C, an email will be sent to the doctoral student informing him/her of the administrative documents to be provided and the rest of the procedure, which will be carried out via the ADUM

Once prior agreement has been obtained, the doctoral student submits to the Doctoral School (by sending to  ed3c@sorbonne-universite.fr), the official UPC document "Demande d'autorisation pour la composition du jury" in Word format, signed by the thesis director and accompanied by the summary of the thesis and the list of publications.

This document, validated by the Doctoral School, must be sent to the Defence Office for decision and signature by the President of the University. Any change in the composition of the Jury after the President's approval will result in the cancellation of the current defence procedure.
